A Recent Case Study 

The case study illustrated below examines the initial state of space utilization of a mid-sized company in the Nordic region, along with the findings resulting in actionable recommendations and insights into optimizing the workspace utilization.  

Methodology 

Data collection employed a variety of sensors to monitor the utilization of desks and meeting rooms. Flowscape sensors seamlessly integrate into the office environment, utilizing either WIFI or separate gateways for connectivity. Renowned for its stability and high accuracy, the system ensures the provision of secure and indisputable data. In this instance, both people counting sensors and regular motion sensors were utilized. 

This analysis specifically focuses on weekdays' office hours, offering an accurate depiction of space usage during peak operational periods.  

The duration of data collection can be tailored to suit individual customer requirements; however, typically, a three-month measuring period suffices to yield comprehensive insights into actual office usage. These insights enable informed decision-making regarding necessary changes and adaptations to company policies.

Findings 

Workspace Needs 

Work Desks: This study examined the existing 209 work desks included in the company’s initial workspace capacity. It was found that the total desk requirement could range from 100 to 140, depending on whether the company adopts a "clean desk" policy. With a clean desk policy, meaning desks cannot be reserved for the entire day, the maximum required desks would be 100, saving 50% compared to the current volume. However, if the company prefers a traditional policy where desks are reserved for the full day, the required number increases to 140 work desks, still saving around 30%. This difference highlights the potential for flexible desk management strategies to adapt to various work patterns. 

Meeting Rooms: The analysis of meeting room usage, conducted on 19 larger meeting rooms equipped with sensors, revealed that only 14 meeting rooms are necessary to meet the current demand. Based on the FlowSense analysis, the required breakdown includes one large room for approximately 20 people, four mid-size rooms for 5-8 people, and ten small rooms for up to 4 people, with an additional mid-size room recommended as a margin. This detailed recommendation on room sizes needed underscores the importance of using people counting technology for accurate planning. 

Utilization Rates 

Peak Utilization: The highest simultaneous use of desks reached numbers significantly lower than the total available, suggesting room for optimization between 30-50% in this specific case. 

Duration of Use: Analysis of desk usage for at least one hour during the day presents an opportunity to implement hot-desking or shared workspace strategies to improve efficiency. The type of desk policy chosen is often influenced by company culture and desired behavior in the office. 

Recommendations 

Number of Required Work Desks: Based on peak utilization of existing work desks, the number of employees, and the desired desk policy, the required number of work desks is clearly stated. 

Implement Flexible Desk Policies: Encouraging hot-desking or desk sharing can address the fluctuating demand for workspaces, ensuring resources are utilized efficiently.

Optimize Meeting Room Size Allocation: Adjust the distribution of meeting room sizes based on usage patterns to accommodate varying meeting requirements, prioritizing flexibility and accessibility. 

Adopt Technology Solutions: Utilize advanced booking systems and occupancy sensors to manage resources dynamically, enhancing the ability to adapt to real-time needs. 

Monitor and Adjust: Continuously analyze workspace usage data to identify trends and adjust strategies accordingly, ensuring the workspace evolves in line with organizational needs.
